Permanently Delete Email

By default, when you delete messages, Outlook moves them to the Deleted Items or Trash folder on the server. To permanently remove deleted email from the server:

Outlook 2010 (Windows)

  • Open Outlook. Right-click the Trash folder or Deleted Items folder and click Empty folder.

    OR

  • Open Outlook. Click the Folder tab, select the Trash folder or Deleted Items folder, and click the Empty folder icon.

Outlook 2011 (Mac)

  • Open Outlook. From the Tools menu, click Run Schedule, and Empty Deleted Items Folder.

    OR

  • Open Outlook. Right-click or control-click the Deleted Items folder. Click Empty Folder.

Automatically Purge Messages

To configure Outlook to automatically empty your Deleted Items or Trash folder:

Outlook 2010 (Windows)

  1. Open Outlook. Click the Folder tab. Click Purge, Purge Options.

  2. Select the radio button next to "Mark items for deletion but do not move them automatically."

  3. Check the box next to "Purge items when switching folders while online." Click OK.

Note: Outlook's view may be set to hide messages marked for deletion. To display messages marked for deletion, click the View tab, click the Change View icon, and select IMAP Messages.

Outlook 2011 (Mac)

  1. Open Outlook. Click Tools and Accounts.

  2. Select your UARK mailbox and click Advanced. Click the Folders Tab.

  3. In the Trash section, configure your settings to "Permanently erase deleted messages."

  4. Click OK. Click Close.

Additional Storage Quota

IT Services recommends archiving in Outlook prior to requesting increased storage quota space. Create an archive file by clicking the File tab, Cleanup Tools, and Archive. Copy and back up the archive file.

Request increased storage quota using the Exchange Quota Increase Form. If you are still a UA Mail user and have exceeded your email quota, contact the Help Desk at 575-2905.

The UARK Gmail quota for students is 25 GB. Quota increases are not available.

Changing Your Saved Password

After you change your password in PASSweb, you will receive an error in Outlook. Outlook prompts Exchange users automatically to change their passwords. Non-Exchange users must change their passwords manually.

UARK Gmail users: When following the instructions below, enter your UARK Gmail Mobile/IMAP password instead of your regular UARK password.

To change your password in Outlook:

Outlook 2010 (Windows)

  1. Open Outlook. Click the File tab and Account Settings.

  2. Select your UARK email mailbox. Click Change.

  3. Enter your new password in the Password field. Click Next.

  4. Click Finish. Click Close.

Outlook 2011 (Mac)

  1. Open Outlook. Click Tools and Accounts.

  2. Select your UARK email mailbox.

  3. Enter your new password in the Password field. Click Close.

Out of Office (Vacation) Messages

If Outlook is configured for UARK Gmail, see UARK Gmail: Account Maintenance for instructions.

If Outlook is configured for a UA Mail (mail.uark.edu) mailbox, see UA Mail: Email Forwarding and Vacation Message for instructions.

To leave a vacation or out of office message for your Exchange mailbox:

Outlook 2010 (Windows)

  1. Open Outlook. Click the File tab.

  2. Click Info, Automatic Replies.

  3. Set your vacation message.

Outlook 2011 (Mac)

  1. Open Outlook.

  2. From the Tools menu, click Out of Office.

  3. Set your vacation message.

UA Directory Access (UA Mail)

Note: The UA Directory address book is not available for UARK Gmail at this time. To search for university email addresses, go to UA Directory in your web browser. Exchange users automatically have access to student, faculty, and staff email addresses through the Global Address Book.

To add the UA Directory to Outlook for a UA Mail mailbox:

Outlook 2010 (Windows)

  1. Open Outlook. Click the File tab.

  2. Click Account Settings, Address Books tab. Click New.

  3. Select Internet Directory Service (LDAP). Click Next.

  4. In the Server Name field, enter: acme.uark.edu

  5. Leave "This server requires me to log on" unchecked.

  6. Click More settings. Click OK.

  7. Click the Search tab. Click the radio button next to Custom and enter: ou=People,o=uark.edu,o=UoA

  8. Click OK. Click Finish. Restart Outlook for the changes to take effect.

Outlook 2011 (Mac)

  1. Open Outlook. Click Tools and Accounts.

  2. Click the (+) dropdown menu on the left and select Directory Service.

  3. In the LDAP Server field, enter: acme.uark.edu

  4. If you recieve the Verify Certificate message, click Show Certificate and check the "Always trust acme1.uark.edu when connecting to acme.uark.edu" box.

  5. If prompted, enter your computer's keychain password.

  6. Click Advanced. In the Search Base field, enter: ou=People,o=uark.edu,o=UoA

  7. Click OK. Click Close.

Subscribing to RSS Feeds

Outlook 2011 (Mac) does not support RSS feeds.

Outlook 2010 (Windows)

Outlook 2010 does not function as a newsgroup reader, but has the ability to read RSS feeds.

To add a new RSS feed:

  1. Open Outlook. Right-click or option-click the RSS Feeds folder.

  2. Click "Add a new RSS Feed."

  3. Enter the web address for the RSS feed. Click Add.

To configure additional options:

  1. Click the File tab.

  2. Click Options, select Advanced.

  3. Under the RSS Feeds heading, check the "synchronize RSS Feeds to the Common Feed List (CFL) in Windows" or the "Any RSS Feed item that is updated as new" box.
