Exchange: Distribution Groups
Distribution groups can be created in the UA Exchange Global Address List (GAL) upon request. Distribution groups are used for sending email to a large number of recipients with UARK Exchange accounts.
Note: Use Listserv to send messages to groups containing non-UARK users. Learn more at Mailing Lists.
Request Distribution Groups
By default, UA Exchange Distribution Groups are created as email groups only, but can also be created as security groups.
To request an Exchange Distribution Group, submit an AskIT case including the following information:
-
Indicate email only or email with security.
-
Indicate desired group name, using the naming convention of Department code:(Group Name).
-
Include the UARK username of the person/people responsible for managing the group. Distribution groups can have multiple owners, but must have at least one.
Manage Groups
IT Services recommends managing groups you own using Outlook Web App (OWA). Groups managed in OWA are available no matter how or where you access your email. Group management is not available in the light version of OWA, which launches in unsupported legacy browsers. Security groups can similarly be managed in OWA.
-
Log into exchange.uark.edu with your UARK email address and password.
-
Click Options and See All Options. Click Groups.
-
Select a group under Public Groups I Own. Click Details.
-
View or modify the settings described under each of the headings. Click Save.
View information for any group by clicking Join and Details or selecting a group from the Global Address List.
Note: When a UARK account is deleted, any associated Exchange mailboxes and Exchange distribution group permissions will also be removed.
Using Groups
-
Group owners can restrict which users are allowed to send to a group.
-
Group owners can approve or reject messages before they are sent.
Joining and Leaving Groups
-
Requests to join are rejected by default. This setting can be changed to allow anyone to join or to allow group owners to approve or reject join requests.
-
Group members cannot leave a group without the appropriate permissions.
MailTips Notices
Group owners can set informational notices called MailTips to display in OWA and Outlook 2010 when a user attempts to send an email to the group. A MailTip is a message only visible to the sender that appears in the info bar prior to sending the message. Simple HTML can be used to create MailTips.
